How to Use OakShare: Frequently Asked Questions—Administrators

 

Do we need an administrator for each directory/group in our departmental shared space?

OakShare administrators have ownership over the entire departmental shared space; however, administrators can give others administrative privileges.

Note: Be aware that anyone to whom you give administrative access will be able to change any settings in OakShare and have access to all the files and directories in your departmental space.

 

How can I recognize whether I be logged into my departmentally shared space?

If you are in your administrative Oakland University Computing Account (OUCA) space, the directory name will be in minuscule/lower-case letters.

 

How do I navigate to my departmental directory?

Click the 'Root/' directory.

 

What is the difference between departmental and individual spaces in OakShare?

An individual account is tied to a person's employment at Oakland University; the account will be removed, and the accompanying data deleted, one day after a person leaves the university. By contrast, a departmental space exists permanently—independent of any one person, and is not tied to any individual leaving the university.

 

What if I need to access an individual's data after he has left Oakland University?

You will need to follow Oakland University's Computer Systems Acceptable Usage Policy and obtain the signed approval of senior management (exempli gratia, Provost, University President). Therefore, it is highly recommended that you have moved the individual's data before they leave Oakland University.

 

Why should I turn on logging for a departmentally shared space?

So that you can keep records of which files/directories are moved and who accesses the shared directory.

 

Why should I set quotas on subdirectories in the departmentallu shared space?

To place limits on each shared space to prevent any directory from becoming too large from using too much of the total storage space.

 

What is the difference between a Contact and a Group?

A Contact is one person, and a Group is a collection of persons. You can set up a Contact or Group, if you frequently share files with the same persons.

 

What happens if I delete an item from the departmentally shared space?

The item will be deleted permanently; (it will not be moved to the Trash directory).

 

What do I do about my databases? Can I put them in OakShare?

Yes, the storage space on OakShare as well as Moria are appropriate locations for databases. Note: Ensure, however, that no one is using the database when you move it.

 

How do I set up a quota of 100 MB?

Type 100 in the MB text area of the Set Quota page.

 

How can I add an administrator for a departmental space?

Call the Oakland University University Technology Services (OU UTS) Help Desk and request that a ticket be created to add a departmental administrator to a departmentally shared OakShare account. This ticket will be assigned to a technician from the Oakland University University Technology Services (OU UTS) Group.

 

What should I do if I need to set more complex permissions?

Contact Oakland University University Technology Services (OU UTS) Help Desk for assistance.

 

If I give administrative rights to someone, will they be able to add and remove permissions as I can?

Anyone to whom you grant administrative access will have the ability to grant (and to remove) rights and permissions to anyone, the same as you can.

 

When should I give someone administrative rights?

If you will be out of contact with your department for an extended period of time, then you should designate another person to be an administrator.

Important: Be absolutely certain that you trust the person to whom you grant administrative rights. Be mindful that you might also need to have the approval of a departmental head or of another senior manager in your department before you can grant administrative rights to another person.
