RATIONALE:  

 

POLICY:

Institutional memberships in professional organizations are maintained by the university through its operating divisions.

Personal memberships in professional organizations and subscriptions to professional publications may be paid with university funds only when an institutional membership or subscription is not available and the best interests of the university are served by such membership or subscription.

If the source of the university funds is:

1. Expendable Restricted funds: The regulations under which the funds were received must permit such use; and for the initial membership or subscription, the request must have the approval of the originating unit dean or director. Personal memberships and subscriptions for deans and directors must be approved by the next administrative level for the initial membership or subscription.

2. General, Designated or Auxiliary Activities funds: The request must be approved by the department head and the administrative officer or dean for the initial membership or subscription.

Direct payment vouchers should be used to pay for such memberships or subscriptions. Personal membership and subscription vouchers must contain an explanation of the essential nature of the membership or subscription to the mission of the university.
